Voice and audio data (AI assistant)
Microphone access: Our AI chatbot (SmartCFO AI) offers voice interaction features that require microphone access.
- Voice recordings: When you use the “Talk to CFO” voice feature, your microphone audio is captured for speech-to-text conversion
- Processing: Voice data is sent to third-party AI services (such as OpenAI) for transcription and response generation
- Storage: Voice recordings are processed in real time and are not permanently stored on our servers
- Consent: Your browser will request microphone permission before any audio capture; you can revoke this permission at any time through browser settings
- Text transcripts: The text transcription of your voice input may be temporarily stored as part of your chat session for context continuity
File uploads to AI assistant
- Document uploads: You may upload documents (PDFs, images, spreadsheets) to the AI chatbot for analysis and assistance
- AI processing: Uploaded files are processed by AI services to extract relevant information and provide insights
- Temporary storage: Files uploaded to the AI assistant are stored temporarily for the duration of your chat session
- Data extraction: Information extracted from uploaded files may be used to create or update financial records with your confirmation
- Security: All file uploads are encrypted in transit (TLS) and processed in secure environments

Administrative access
Important: Platform administrators may access your account in limited circumstances as described below.
Our authorised platform administrators may access your account and financial data for the following legitimate purposes:

- Document analysis and data extraction from uploaded files

- Data NOT sent to AI services:
- Your password or authentication credentials
- Bank account numbers or payment card details
- Your complete financial database
- AI provider policies: Data sent to OpenAI is subject to their Privacy Policy. OpenAI does not use API data to train their models.

Data retention
Retention periods
- Financial records: 7 years (or as required by local tax law)
- Account data: Duration of account plus 30 days after deletion
- Audit logs: 2 years for security and compliance
- Support communications: 3 years after resolution
- Marketing data: Until consent is withdrawn
- AI chat conversations: Session-based; cleared when you close the chat
- AI interaction logs: 180 days (automatically deleted thereafter)
- AI learned patterns: Duration of account (used to improve auto-fill suggestions)
- Voice recordings: Not stored; processed in real time and discarded
- Uploaded files to AI: Session-based; deleted when chat session ends
Deletion policy
When you delete your account, we will permanently delete your data within 30 days, except where retention is required by law or for legitimate business purposes (such as resolving disputes or enforcing agreements).
